Client Challenge
This project was initiated as a financial advisor CRM integration to reduce manual follow-up and keep contact records consistent. Follow-ups were being handled manually and the same steps were repeated each day. New contacts and contact updates coming in from Buzz were spread across tools, so records did not always match. Response time also suffered during busy periods. A cleaner workflow was needed to support outreach without adding more admin work.

A lightweight automation workflow was implemented using Zapier to support replies, contact syncing, and outreach tracking. Common message scenarios were handled with automated responses while still allowing manual review when needed. Contact records were created in Redtail, and key fields were standardized so segmentation stayed reliable. Outreach activity was also logged in one place to reduce guesswork and improve visibility. Basic monitoring was included so exceptions could be flagged quickly.
Results
Outreach became more consistent and easier to manage. Contact data stayed aligned across systems with less manual cleanup. Administrative time was reduced, and follow-ups were less likely to slip through the cracks. The workflow was delivered with documentation so it could be maintained and expanded later.
